Key takeaways
- There is no single ranking: results change with location, language, device, time and personalization.
- Rank trackers take a clean sample from a fixed place; Search Console averages what real users saw.
- Track local Maps visibility on a grid around the business, not from one point.
- Pick a small set of keywords tied to revenue and explain rankings as a trend, not a promise.
Rank tracking for agencies works best when the client understands it before the first report. This guide covers how we set it up for client accounts delivered under white label SEO: what to track, where to track it from and how to talk about it. What goes into the monthly report itself is covered in white label SEO reporting; this page is about getting the ranking data right.
Why are my rankings different from what my client sees?
Because Google does not show one fixed list to everyone. Its own help center says results vary by time, location, language, device and personalization based on the searcher's Google Account. A client searching from the office, signed in, on a phone, sees a different page than a rank tracker sampling from a set city.
Google explains this in why your Google Search results differ from others. Its page on personalization and Search results adds that even with personalized recommendations turned off, Google still uses some information, such as location, to shape results. That is the sentence to send a client who says "I can't find us."
| Factor | What changes | What to tell the client |
|---|---|---|
| Location | Local packs and many organic results | Your office is one point on the map; customers search from many |
| Device | Layout and some results | We track mobile and desktop separately where it matters |
| Personalization | Results shaped by account activity | Your own searches are not a neutral test |
| Time | Results move day to day | We look at trends over weeks, not single checks |
How accurate are rank trackers?
A rank tracker is accurate for what it measures: one unpersonalized search, from a chosen location, device and language, at one moment. It is not wrong when it disagrees with a client's screen; it is measuring a different search. Accuracy improves when you set the location to where customers actually are and keep settings consistent month to month.
Settings to fix per client before the first report:
- Location: the city, postcode or service area the client sells to, not your agency's location.
- Device: mobile for most local and consumer businesses, desktop added for B2B if buyers search at work.
- Language and country: matched to the market, for example English in Canada or the UK.
- Search engine: Google as the default; add others only if the client gets real traffic from them.
- Frequency: daily or weekly is enough; what matters is a consistent sample.
What is the difference between rank tracking and average position in Search Console?
Search Console reports what real searchers saw. For each query it records the topmost position of the site's link, then averages across queries and impressions. A rank tracker checks one sample search. Search Console is closer to reality but blended; the tracker is cleaner but narrower. Use both and explain why they will never match exactly.
Google defines the calculation in what are impressions, position, and clicks: only the highest position per query counts, a link needs an impression to get a position, and your individual search may differ from the average because of search history and location. Filter the Performance report by query, page and country to compare like with like. A tracked keyword at position 3 and a Search Console average of 6.4 for the same query is normal: the average includes searches from other places, devices and result layouts.
How do you track local rankings on Google Maps?
Use grid tracking: the tool runs the same search from many points around the business and shows the position at each one. Google says local results depend mainly on relevance, distance and prominence, so a single check from the shop door overstates visibility. A grid shows where the client is strong, where it fades and how that changes over time.
Google's tips to improve your local ranking define distance as how far each business is from the person searching. That is why a grid matters for local clients and why our Google Maps SEO guide treats it as the baseline for every Business Profile.
Grid size
Match the real service area; a huge grid around a small shop only shows red.
Few keywords
Grids are costly per scan; track the three to five searches that bring calls.
Same schedule
Scan on the same day and time each month so changes are comparable.
Look at shape
Report how far the strong area reaches, not one average number.
How many keywords should an agency track per client?
Enough to cover the services and locations that bring revenue, and few enough that the client can read the list. A local business needs its main services in each area it serves; a large store or directory needs page-type samples, not thousands of keywords. Group them by service or page type so the report shows themes, not a long table.
Build the list from the keyword research and the page each term is mapped to. Good groups: main services, each location, brand terms, and a handful of informational queries that feed leads. Leave out vanity terms the client likes but no customer searches. On very large sites, track a fixed sample of URLs per template and rely on Search Console for the long tail. That is how we approached a 70,000-page directory, where daily organic clicks grew from about 700 to more than 2,300: the trend lived in Search Console, not in a tracked keyword list.
Should you show rankings to clients?
Yes, but as supporting evidence, next to clicks, leads and calls. Show the trend per keyword group, the share of tracked terms in the top three or top ten, and the local grid for Maps. Explain once, in writing, why their own searches differ. Never promise a position or a date; no one can guarantee rankings.
Rankings help a client see movement before leads catch up, and they help explain a drop. They become a problem when they are the only number in the report. If a client still asks why they cannot see themselves, our guide on how to explain SEO to clients has wording that works. Frequently asked questions
Do rank trackers use incognito mode?
They run automated, unpersonalized searches from a set location, which is similar in spirit but not the same as a person in incognito mode.
Why did a keyword drop and come back the next day?
Results move daily. Look at the weekly or monthly trend before reacting to a single check.
Should we track competitors too?
Yes, two or three real search competitors per client add context to every ranking change.
Can we white label the rank tracking report?
Most rank tracking tools offer branded reports or exports you can place in your own template.
Is a higher ranking always better for the client?
Not if the keyword does not bring customers. Tie each tracked term to a page and a business goal.
